Settings are important to make the app adapt to your use case. LetsJobIt is used in different industries and each industry has his requisites.
On your first login, you'll have no visits/jobs in the app, so you'll probably see a screen like the one below (but your's will say 0 opened visits and 0 jobs. Well, that's about to change in a minute!). Hit the menu icon to see the left-hand side menu, expand the menu and hit settings.
1. Company Defaults: These are global settings that affect all the users in your organisation. Hit the Company Defaults link to start. Choose your company to see the defaults (yes, one user can be attached to many companies! More on that later)
These defaults are important because they control the information level shown (and used) throughout the app. Let's see what they mean:
Allow Visits Without Service Item: A "visit" in LetsJobIt is a customer site where you are going to deliver goods or services.
If you are a service company doing equipment installs and repairs, you may visit dozens of customers in one day. Now, one visit (on one customer site) may have several "jobs" or tasks performed in that site. Say you have a corporate customer with several equipment units installed. You may have to go there to repair more than one equipment, or install a new equipment. You have interest in recording those "jobs" in the app, each relating to a different equipment unit. Your visit would look something like the image below. You are definitely interested in knowing the unit locations within your customer premisses, their brand/make, and other relevant information. You also may be interested in recording the time it took to service each unit (if you invoice by the hour). All these details are recorded using the "service items" within the visit (as shown below). Thus, you would NOT Allow Visits Without Service Item.
If you are a courier, you're not necessarily interested in this "job" concept, since for you it's all about getting to a customer, deliver your package, collecting the signature and drop out. You would use our app like below and you would Allow Visits Without Service Item. You just need to know your customer details.
In some mixed cases, you might want to Allow Visits Without Service Item even if you do need job details in your visits. These are cases when your "jobs" are not know in advanced - as when you don't know exactly what you are going to do in a certain customer. In those cases, you may generate your visit without jobs and add a job when you're actually at the customer. We'll cover that in a later chapter.
Email Mandatory: When a Driver or Engineer completes a visit, the normal process is for them to get the customer signature. This screen (as shown below) has two fields to capture the customer contact details: name and email. You can make the email field mandatory by checking this customer default option.
Show Items On Order Section: If you're using Service Items in your visits, you may be interested in more or less detail, depending on your activity. If you're delivering goods or providing repair services, chances are that you need to carry a stock of certain goods or parts in your vans. These items may not always be there when they're needed. Entering Items On Order. Your Driver or Engineer may record these missing parts in the appropriate job, notifying the back-office (in real time) that they are needed to complete that service.
With LetsJobIt, you can load thousands of items in your app. They will be available for offline use.
Hide Equipment Details: These details show up at the top of your job. If you're not servicing equipment (you don't need to know serial numbers, brand and make), you can turn ON this setting. Your job screen will look like this one (the image below alternates equipment details on and off):
Hide Delivery Items Section: You can also hide the delivery items section, if you don't care about items. Turn this setting ON to hide the delivery items from your job screen. The image below shows a job screen without equipment details, items on order nor delivery items. So, if you don't care about item details but do care about recording the service time in each job or visit, then this combined settings might be for you. You're left with your custom fields (like the one shown below, above the observations) and an observations field.
Confirm Visits Immediately on Close: If you're not using our API to fee data into the app, set this setting to ON. If you're using the API, please refer to our specific API documentation here.
Generic Service Item Description: This is also API related. When you add visits in bulk and you're not allowing Visits Without Service Item, then whatever you write in this setting will be used as the Service Item description. We'll cover that more thoroughly in other parts of our docs.
Booking Email Default Text: LetsJobIt is a powerful order scheduling tool. You can send a booking email to your customers directly from the app. Booking is when you call or email your customer to schedule a future appointment (to ensure that your drivers or engineers will be allow entry when they show up, that they have a parking, etc.). Scheduling will be covered more in-depth in another section but this is just to open your apetite:
See that email text appearing out of the blue? Well, that's the Booking Email Default Text in action. You can use variables like (((companyName))) or (((bookingDate))) to refer to specific data in your visit.
Phew, breathe deep! Congratulations, you've made it through the company defaults! It will get easier now, as the other settings are just the settings you're used to in any application.
